400 invited guests for an opening, and no list in a spreadsheet

The Royal Danish Collection runs Koldinghus, Rosenborg, the Amalienborg Museum and Christiansborg Palace. They have used Tickethero since 2019, for exhibition openings, Christmas events, courses and concerts at the castles, and today above all for the openings where guests come by invitation.

An exhibition opening is not a ticket sale

When The Royal Danish Collection opens a new exhibition, at Koldinghus, in Christian VIII's Palace at Amalienborg or in the Palace Chapel at Christiansborg, several hundred guests arrive in one evening. None of them has bought a ticket. They are invited, and they are invited to different things. Some to the opening itself, some to the reception afterwards, some to dinner and a night at the castle. The members of KLUB have their own evening, and the board and the city council have their own list.

That is a guest list with five layers, and it has to be right on the day. Invitations by e-mail and replies by e-mail give you a spreadsheet that someone has to keep up to date until the evening, and that is still wrong at the door.

"Good hospitality is our DNA and must be reflected in everything we do," says Nanna Ebert, Head of Communications at The Royal Danish Collection. "So our ticketing system has to match the good experience we give our visitors when they visit Koldinghus."

One guest list per invitation, all in one place

In Tickethero, The Royal Danish Collection sets up each opening as hidden events with free tickets. The event is not on any list, only in the invitation that is sent out, so the right guests sign up and nobody else. Opening, reception, dinner and overnight stay are each their own ticket type, so the kitchen can see how many are coming to what.

The count is right all the way up to the evening, without anyone correcting anything. At the gate the guest shows the ticket on their phone, it is scanned, and that is all.

"Fortunately, ticket ordering and the physical access control have been easy to handle for both our staff and our visitors."

From Christmas market to embroidery course

The openings are what The Royal Danish Collection uses Tickethero for most today, but not the only thing. Since 2019 they have sold over 14,000 tickets through the system. For the Christmas market at Koldinghus, where guests bought a time slot. For a concert in Christian IV's sound channels at Rosenborg, for embroidery courses, family tours and Christmas in the castle shop.
